ARRIVAL AND DEPARTURE TIME
Our general preschool session is held from 9:00am – 12:00pm. We ask that you keep to these times as closely as possible. Dropping your child off early may interfere with the teacher’s preparation time for the day. It is important for you to arrive on time to pick up your child as it is upsetting to a child when Mom or Dad is late. We appreciate your cooperation in this, as it makes an easier transition for the children. All children must be escorted into their classrooms by an adult, and received by a staff member of Sandcastle Preschool.
For your child’s protection, we require that you fill out the form listing those adults who are authorized to pick up your child up from school. We will not allow a child to leave the preschool with someone who has not been authorized to do so. Even after you have filled this form out, it is nice if you are able to let us know in the morning when you drop
your child off if someone else (who is listed on child’s authorization form) will be picking your child up. In the event that you do not arrive to pick up your child, your emergency contacts will be called to pick up your child.

Sandcastle Preschool is a 501 (c)(3) nonprofit preschool. Our program is totally dependent upon tuition generated from students. Tuition is paid by the month and is due on the first school day of the month. September tuition will be due on August 1st. Tuition payments thereafter are due each month with the last payment due April 1st. There will be a $20.00 late charge for payments made after the 10th. An additional $5.00 charge will be added for each week thereafter until payment has been made. There will be a $30.00 charge for all returned checks. In the event that an account becomes delinquent, and no payments have been received for one month, the child will not be allowed to attend until payment has been made, or arrangements have been made with the director to make payment. If no payment is received, and no attempt is
made to make such arrangements, the child will not be allowed to attend, and his or her spot shall be filled by another student. Registration fee is non-refundable. Payments are to be made regardless of illness or absence from school for any reason. Holidays do not affect tuition payments. You are welcome to make tuition payments in larger
installments rather than the monthly payments. For example, you may wish to pay for three months at a time, or you may choose to pay for the whole year in one payment. See Barbara if you are interested in a different payment schedule other than the monthly payment.
In the event that you wish to terminate your child’s enrollment in Sandcastle Preschool, you must give a one months notice (30 days) to the director. You are responsible for tuition payment for no less than one month after formal notification is given. Your child may attend school during this 30 day period.
If your child will be absent from school please notify us in advance if possible, or call us in the morning. Any absence from school does not affect tuition amount.
You are welcome to come in and visit your child’s classroom at any time. We simply ask that you notify the teacher so she can prepare the children for a visitor and include you in the activities. We have found in the past that it works best to let us get settled into our routine before we have any visitors. This makes it easier for the children to adjust to being away from their parents during school time. Therefore, we ask that you give us some time to establish our routine before setting up a time to visit. If you are at all uncomfortable with this, please let us know.
We will be taking field trips throughout the school year. You will be notified of these field trips in advance and are invited to participate with us. Most often we will need to secure drivers for the children, and sign-up sheets will be posted several days in advance. It is imperative that all children are placed in a seat belt or car seat, whichever appropriate according to the law, to and from the destination.
We ask that you do not allow your child to bring toys to school. We have found in the past that toys from home very often cause problems between the children, and are distracting. If your child does have something special, he or she would like to share, you may talk with your child’s teacher about arranging a time to bring it in. Please make sure that your child’s coat, boots, etc., are labeled with his or her name. Children often have the same coat, and this also helps us alert you if any of your child’s belongings are left at school.
GUIDANCE AND DISCIPLINE, TERMINATION POLICY
Our policy at Sandcastle Preschool regarding guidance and discipline is as follows:
As we see a situation developing, assessment is done first to determine if safety is a factor. Safety of each child is our first priority. If safety is a risk, immediate intervention to prevent a child from any harm is used. If the situation does not involve a safety risk, we will first try redirection, or encourage cooperation, whichever is appropriate for the situation at hand. In the event that a child is not able to redirect or cooperate, a time out may be used for a few minutes to help the child either calm down or redirect through removal from the situation. Corporal punishment is never used. We feel it is very important for teachers and parents to communicate with each other in regard to inappropriate behaviors in the classroom. If your child is having a problem, your child’s teacher will talk with you to work together with you to help your child with the problem.
There is the possibility of termination of enrollment if any child’s behavior poses a threat to the safety and or well being of other children in the preschool or him/herself. Termination may also be a possibility if a child is exhibiting behavior that is affecting the classroom routine, requiring the teachers attention for a disproportionate amount of time, and/or disruptive to the point where it is adversely affecting classroom setting. Termination is determined by Director and/or classroom teacher. We reserve the right to terminate a child’s enrollment at any time and this can be made effective immediately if any of these above factors are present and this determination has been made by the director and classroom teacher.
In the even that your child’s enrollment is terminated based on determination by preschool staff according to our policies and no refund for tuition for any days child has attended will be given. Registration fee is always non-refundable. If a child arrives at preschool to attend, this is considered ‘a day’ whether he/she stays for the duration of the preschool day or leaves before 12:00pm.
EMERGENCY EVACUATION PROCEDURES
We practice regular fire drills and emergency procedures as per Child Care Division regulations. In the event that we have an emergency and we evacuate and cannot return to the building, the person in charge at the time will collect the emergency information file/notebook located on the cart in the hallway, role will be taken at our meeting point, the outside playground, and we will proceed to Chintimini Park/Chintimini Senior Center at the corner of 26th and Tyler Street, where we will call parents or emergency contacts as listed in each child’s file. Staff carry cell phones for emergencies. Children will then be picked up at the emergency site.
Prescription medications will need a completed medication authorization signed by parents with complete instructions for staff before they can be administered. These medications must be in the original container and be current. For non-prescription, over the counter medications, the medication authorization form must be completed, and the medication must be in the original container, and be current. The dose stated by parent cannot exceed that on the medication container. All medications must be labeled with your child’s name, and given directly to staff. No medications are to be sent in diaper bags or backpacks. Medications are kept in a locked area away from children.
In the event that your child has an accident at preschool, he/she will be checked for injuries and any necessary first aid will be given. The staff have first aid and CPR certification. Parents will be notified if needed or if injuries may require further medical attention. If a parent cannot be reached, emergency numbers will be called. If we deem it a medical emergency, we will call 911, and contact the parent simultaneously. We use the doctors name and number on your registration form so an EMT or emergency room doctor can quickly contact a doctor for any pertinent information. Children will be transported to Good Samaritan Regional Medical Center in Corvallis, and seen by the doctor on call. Accident reports are done for incidents, and require parent signature. A copy is always available at your request.
INCLEMENT WEATHER INFO
On those rare occasions when we have a snow or ice day, we follow the public school decision regarding closure. We will send out an email in the morning by 7:30 to notify you if preschool will be closed for the day. If the public schools make the decision to delay starting or if morning kindergarten is canceled, we will typically cancel as well. We do have a few ‘snow days’ built into the budget each year. Any days taken off may or may not be made up depending on how the school calendar falls.
The school year runs beginning in September and continues through the end of May. Depending on when Memorial Day falls on the calendar, the regular school year may end the Friday before Memorial Day. Summer Session typically runs the month of June.
NO NUT POLICY
We have made the decision to make the preschool environment nut free. We have already implemented this in our snacks, but we ask that you follow these guidelines if your child stays for lunch and you pack a lunch from home. Please do not send any food that contains any type of nuts from a tree or peanuts. This obviously includes peanut butter, but anything with peanut oil, or other nut oils should be avoided as well.
Seed butters are fine, such as Sun Nut Butter made from sunflowers, which can be found at most local grocery stores. Labels are great these days at listing ingredients clearly, especially for nuts since this can be an extremely dangerous situation for anyone with nut allergies. One culprit that seems to come up is the candy bar in Lunchables –please be sure you are not sending one with Snickers or Butterfinger bars. We thank you for your careful consideration when packing food for your child, and hope this doesn’t cause much inconvenience.
